AI agent for accounting firms: incoming invoices, client documents and reminders without re-typing
The agent takes over the work that repeats for every client every month: it turns incoming invoices into an import file for your accounting program, reminds clients about missing documents, matches payments with open invoices and drafts replies to recurring questions. Posting and tax advice stay with the accountant.

Where the hours go
In an accounting firm the same work repeats for every client every month. Someone opens incoming invoices, re-types the supplier, the date and the amounts by VAT rate and checks that the invoice has not been entered already. When the deadline for documents passes, someone checks who has not yet sent bank statements or travel orders and writes each client a reminder. Bank statements are matched with open invoices by hand. Questions about travel costs, benefits in kind and deadlines are answered again and again.
Mistakes in this work are expensive to fix, so it is done by an experienced person who could otherwise be advising clients. What that means in hours for your firm you calculate yourself in the savings calculator.
What the agent takes over and where it stops
Below are the four processes we most often suggest to accounting firms. Each one shows what triggers it, what the agent does, what stays with the accountant and where the agent stops. In the analysis we pick the one you start with; most often it is incoming invoices. During the pilot the agent first works in suggestion mode: a person reviews every result before it moves on.
- 01
Client invoices ready for posting
Trigger: An invoice arrives by email or in the client's folder.
- Takes over
- Extracts the supplier, date, amounts and VAT by rate, checks for duplicates, prepares an import file for Pantheon, Minimax, Vasco, SAOP or e-Računi and flags invoices it cannot read.
- Stays with a person
- The accountant posts and approves.
- Stops at
- The agent does not post and does not choose an account without your rule.
Integrations:- Outlook or Gmail
- Pantheon or Minimax
- Vasco or SAOP
- e-Računi
- import files
- 02
Collecting missing client documents
Trigger: The day after the deadline you set for clients to send documents.
- Takes over
- Compares what arrived with what is expected (bank statements, invoices, travel orders), prepares a personal reminder to the client in your tone, waits for the reply and flags what is still missing.
- Stays with a person
- In the first month you approve every message; after that the agent sends on its own as agreed.
- Stops at
- No threats and no deadlines you have not set yourself.
Integrations:- Outlook or Gmail
- WhatsApp Business
- Excel
- 03
Bank statement matching
Trigger: A bank statement export (camt.053 or CSV).
- Takes over
- Matches payments with open invoices according to your rules, prepares a posting proposal and puts exceptions on a separate list.
- Stays with a person
- The accountant resolves the exceptions and approves the proposal.
- Stops at
- Nothing is posted without your approval.
Integrations:- bank export (camt.053 or CSV)
- Pantheon or Minimax
- 04
Replies to recurring client questions
Trigger: A client sends a question by email.
- Takes over
- Sorts the question (travel costs, benefits in kind, deadlines) and drafts a reply from your internal answers, with a reference to the source.
- Stays with a person
- The accountant checks the draft and sends it.
- Stops at
- Only a person sends tax advice to a client.
Integrations:- Outlook or Gmail
- SharePoint or Drive
Where the agent works: Email, Dashboard, WhatsApp Business. How the channels work.
Which tools we connect
The agent reads the mailbox in Outlook or Gmail and the client folders in SharePoint or Drive. For Pantheon, Minimax, Vasco, SAOP and e-Računi it prepares import files; where a program has an API, we use it. Bank statements are read from a camt.053 or CSV export. Reminders go by email, and through WhatsApp Business for clients who already talk to the firm on WhatsApp. The base package includes up to two integrations; if the process needs a third, the analysis says so, with a price.
The agent files nothing on eDavki. It prepares the data; the accountant files.
How it runs for you
On a free 30-minute call we pick the process, for example incoming invoices for one group of clients. The analysis takes one week and costs 490 €, which is deducted from the agent's price. Then comes a pilot on your invoices in suggestion mode (2–3 weeks), followed by production and handover in weeks 4 to 5, with documentation and a repository that sits in your organisation from the start. Maintenance from 190 € per month is optional. After any phase you can stop and pay only for completed phases. The full process and pricing are on the main page.
Private AI or an agent?
The agent runs the process: it reads the invoice, prepares the import, sends the reminder. If the firm mainly needs to search rulings, opinions and its own archive with a cited source, that is private AI for accounting firms, which runs on your own server. Both can run side by side; the analysis tells you which one is the first step for you.
What we do not promise
- Hours or money saved. You estimate that yourself in the calculator, and the pilot then counts the invoices actually processed and the exceptions.
- Posting without a person. The agent prepares the import and the proposal; the accountant posts and approves.
- Tax advice. The agent drafts from your internal answers; anything that is tax advice is sent only by a person.
- Error-free reading. An unreadable or unusual invoice is flagged and handed to a person; the agent does not guess.
An automation blueprint for your process
Pick your sector and describe a repetitive task in two to four sentences (up to 700 characters). Claude suggests three ideas in a few seconds: the first in full, the other two by email. No savings figures; we estimate those on the intro call.
Suggestions are written by AI (Claude by Anthropic) and pass an automatic filter before display, not a human review. Your inputs are processed by Anthropic (USA), without your email; see the privacy policy.
Frequently asked questions
Which accounting programs do you support?
For Pantheon, Minimax, Vasco, SAOP and e-Računi we prepare import files in the format the program accepts. Where a program has an API we use it; where it does not, we work through files. The analysis states which route we take for you.
Does the agent file anything on eDavki?
No, never. The agent prepares the data and the spreadsheets; the accountant files on eDavki personally.
What happens to client data in the cloud?
A cloud agent runs through the business API, which by default does not train on customer data, and sends the model only the fields set in the analysis. For clients with sensitive data the agent can run on a local model on your server. The choice is made in the analysis.
