AI agent for law firms: intake, deadlines and draft letters that no longer wait for a trainee
The agent takes over the office work that repeats on every case: it opens the record for a new case, turns incoming court documents into calendar deadlines, builds draft letters from your templates and prepares the invoice specification at month end. Decisions, signatures and talking to the client stay with the lawyer.

Where the hours go
In a law firm a large part of the day repeats on every case. Someone re-types the data from an inquiry into the records and opens a folder. Someone reads every incoming court document, finds the date of service, calculates the deadline and enters it in the calendar. Payment demands, client updates and requests for documents are written again and again from the same templates. At month end someone collects the hours by case and prepares the invoice specification.
None of this is legal work, yet each task needs care and takes a trainee's or a secretary's time. What that means in hours for your firm you calculate yourself in the savings calculator.
What the agent takes over and where it stops
Below are the four processes we most often suggest to law firms. Each one shows what triggers it, what the agent does, what stays with the lawyer and where the agent stops. In the analysis we pick the one you start with. During the pilot the agent first works in suggestion mode: a person reviews every result before it moves on.
- 01
New case intake from email
Trigger: A client inquiry arrives in the firm's mailbox.
- Takes over
- Extracts the client, the opposing party, the type of case and the attachments, prepares the folder and the record (Excel, SharePoint or your own program) and checks for a conflict of interest against your list.
- Stays with a person
- A lawyer approves opening the case and the power of attorney.
- Stops at
- The agent does not accept the case and does not discuss its substance with the client.
Integrations:- Outlook or Gmail
- SharePoint or OneDrive
- Excel
- Word
- 02
Deadline tracking from incoming court documents
Trigger: A PDF of a court document is saved in the agreed folder.
- Takes over
- Reads the date of service and the type of document, calculates the deadline using your deadline rules, enters it in the calendar with two reminders and flags uncertain cases.
- Stays with a person
- A lawyer approves the deadline on every document, without exception.
- Stops at
- The agent never files anything and never opens anything on the e-Sodstvo portal.
Integrations:- Outlook calendar
- OneDrive or SharePoint
- 03
Drafts of routine letters
Trigger: A request in Teams or a tag on the case folder.
- Takes over
- Builds a draft in Word from your template and the case data (payment demand, status update to the client, request for documents), with a list of the fields it filled in and the ones still missing.
- Stays with a person
- A lawyer reviews, signs and sends the letter.
- Stops at
- The agent sends nothing to clients or to opposing parties.
Integrations:- Word
- Teams
- Outlook
- 04
Invoice preparation from time records
Trigger: The last working day of the month.
- Takes over
- Collects time entries by case, groups them by client, prepares the specification of work done and an import file for e-Računi or Minimax.
- Stays with a person
- A lawyer approves the amounts and issues the invoice.
- Stops at
- The agent never issues an invoice on its own.
Integrations:- Excel
- e-Računi or Minimax

Which tools we connect
The agent works in the tools the firm already uses: Outlook or Gmail, the Outlook calendar, SharePoint or OneDrive, Excel, Word and Teams. Invoices are prepared as an import file for e-Računi or Minimax. If you keep case records in a dedicated program, we connect to it through exports and imports or through its API where one exists. The base package includes up to two integrations; if the process needs a third, the analysis says so, with a price.
The agent does not use the e-Sodstvo portal. Filing and access to the court file stay with the lawyer.
The Slovenian Attorneys Act (Zakon o odvetništvu) requires a lawyer to keep confidential what a client has entrusted to them. That is why the analysis decides which fields may go to a cloud model at all and which processes run on a local model inside the firm. The rule for choosing is on the Business process automation page.
How it runs for you
On a free 30-minute call we pick the process, for example deadline tracking. The analysis takes one week and costs 490 €, which is deducted from the agent's price. Then comes a pilot on your documents in suggestion mode (2–3 weeks), followed by production and handover in weeks 4 to 5, with documentation and a repository that sits in your organisation from the start. Maintenance from 190 € per month is optional. After any phase you can stop and pay only for completed phases. The full process and pricing are on the main page.
Private AI or an agent?
The agent runs the process: it opens the case, enters the deadline, prepares the draft. If the firm mainly needs to search case files, templates and collected case law with a cited source, that is private AI for law firms, which runs on the firm's own server. Both can run side by side; the analysis tells you which one is the first step for you.
What we do not promise
- Hours or money saved. You estimate that yourself in the calculator, and the pilot then counts the cases actually handled and the exceptions.
- Legal decisions. The agent does not assess a case, accept clients or give advice. That stays with the lawyer.
- Filing or sending. The agent files nothing with a court and sends nothing to a client or an opposing party.
- Error-free reading. With a poorly scanned document or an unclear date of service the agent flags the case and hands it to a person; it does not guess.
An automation blueprint for your process
Pick your sector and describe a repetitive task in two to four sentences (up to 700 characters). Claude suggests three ideas in a few seconds: the first in full, the other two by email. No savings figures; we estimate those on the intro call.
Suggestions are written by AI (Claude by Anthropic) and pass an automatic filter before display, not a human review. Your inputs are processed by Anthropic (USA), without your email; see the privacy policy.
Frequently asked questions
Do case files leave the firm?
With an agent in the cloud, only the fields set in the analysis go to the model, through the business API, which by default does not train on customer data. With a local model nothing leaves the firm. The choice is made in the analysis; for searching case files, private AI is the better fit.
Does the agent talk to clients?
No. The agent prepares draft letters that a lawyer reviews, signs and sends. It sends only internal notifications on its own, such as deadline reminders.
What about attorney-client confidentiality?
Access is set per case, every step of the agent is logged, and processing is covered by a data processing agreement. Where confidentiality requires it, the agent runs on a local model inside the firm. This is not legal advice; the assessment stays with the firm.
